How to Buy the Right Copier

Definitions
Business class copiers-Not sold in office club stores.  Sold by knowledgeable and reputable dealers. Designed for higher volumes and dependability.


Office club copiers & personal copiers -Sold in office club stores i.e. Office Depot, Office Max and Costco... For personal and low volume customers.

Cost of Equipment
The cost of a copier can be quite expensive.  Just shopping for price and buying one on cost alone can be misleading and can end up being more expensive in the long run.  This is especially true if you make thousands of copies per month.  You could be paying three times the amount of the price of the copier in toner and supply costs.  It doesn't matter if you are buying one for a business or for personal use.  The first thing you should do is research the cost per copy.

Volume and Cost per Copy
When purchasing a copier you must first research your monthly copy volume.  This is the first step in choosing which copier is right for you.  One easy way to determine this is to think of how many reams of paper you use per month.  Each ream is 500 sheets of paper.  Just multiply that by the amount of reams that you use and you have a fairly accurate assessment of your "copies per month."  The reason you must know this is because it helps you determine you're "cost per copy."  This is how much it will cost you every time you press the copy button.  Now, you take the price of the toner and divide that into the estimated yield and you have your cost per copy.  Example: The toner cost is $100.00 and the yield is 10,000 copies.  Your cost per copy is.01 cents per copy.  Office club type copier supplies are almost always more expensive than a business class type copier.

Service and Repair, Service contracts
Most copier service companies, (not affiliated with office clubs) will not provide you an onsite service contract on an office club copier.  This is because they don't sell them.  Office club stores will normally offer extended warranties but coverage may not be complete.  For example, they might not cover the toner or they won't cover on-site service.  I have had customers call me and tell me that they had to ship the machine off to have it repaired and that they didn't even get the same machine back afterwards. They received a replacement machine.

Many times a business class copier service contract that covers parts, service, and toner and supplies (everything except paper) is less expensive than the toner costs on a personal copier.

Automatic Document Feeder and Feed Systems

Document Feeders
An automatic document feeder is the feeder that automatically feeds your original documents one at a time, so you don't have to stand there and lift the lid each time you have a stack of originals to be copied.  Not all document feeders are created equally.  There are many different mechanisms that feed, separate and eject the originals on all of the makes and models of copiers.  Business type copiers have much better mechanisms than personal type copiers.  When you are in business and you make lots of copies and sets of copies it is frustrating when you can not count on this feature to work dependably.

The most common problems are multi-feeding and jamming problems.  Multi-feeding is when the feeder pulls in more than one original at a time.  Most of the time the copier will not let you know this happened.  It will not show a jam and you may not realize it did this, until you are in the middle of your very important meeting and you have some missing pages.  Paper jamming is another problem where it doesn't pull the paper through correctly and jams.  This is also very frustrating.

Feed Systems
Feed systems are the rollers and mechanisms that pull in your copy paper to make copies.  Paper jams are the most frustrating thing that a person can have with a copier.  Office club type copiers have inferior systems that feed the paper in and as you make larger copier runs the dependability is much less than a business type copier.  I am speaking of my experience of over thirty years in the industry with copiers on both document feeders and feed systems, but there are exceptions and some personal copiers work just fine.

Quality and Longevity
Quality of the copies being made has really improved over the years especially since the digital evolution.  There really is not much difference in copy quality.  I have seen personal copiers that have just as good resolution and copy quality as a very expensive business copier.  That said, when it comes to the quality of manufacturing, sturdiness and just plain quality of the equipment you can see a big difference.

Business type copiers are built to last.  It really depends on your copy volume as to how long each machine will last.  Business copiers are built to last the monthly duty cycles that the manufacturer has designated.  Though sometimes, I feel that they over estimate these amounts.  There are applications where a personal copier will need to be replaced in only one year next to a business type copier that will last seven to ten years, really!

Conclusion
Buying a copier can be expensive, but buying the wrong copier can be a waste of money.  By doing your research ahead of time you can save money and use your copier for many years with fewer problems. Finding a dependable company to service your machine is just as important as buying the right machine.

How to Remove Xerox Toner From Clothing

Stains in general are one of life's many annoyances, especially when it's something near impossible to remove.  Clothing is pretty expensive to begin with, and then you get stains and it's a whole different cost to get the dry cleaners to remove them--if they can.


If you've ever been elected as the lucky individual to change the toner in the Xerox copier at work (usually on the day you when you decided to wear that crisp white shirt and freshly dry-cleaned khaki's), you know that unless you're wearing a hazmat suit, you'll probably end up with some toner- from change induced battle stains.  Usually, this would mean throwing out the item and going shopping, with a chip on your shoulder all because of the stupid copy machine and its Xerox Toner needs.

Keep in mind though, next time you find yourself in that boat, just refer to the handy guide here to help you treat the stain and salvage your stained item of clothing.

Xerox toner is so hard to get out of clothes because of the special powder it's made of; which contains a highly concentrated amount of pigments and dyes.  Toner melts when heated, thus causing it to bond firmly to paper in the printing process.  When toner comes in contact with clothing it doesn't form an indelible bond right away, you have a window of time to treat it, and salvage your item of affected clothing.

Here are 5 steps to treat Xerox Toner stains in clothing yourself:
1) Remove the article of clothing as soon as possible and shake it out.  The sooner you attend to the stain, the less time the stain has to settle into the fibers of the item.  Shake it to get as much loose toner out as possible.

2) Use a Vacuum with an attachment to vacuum out those loose particles in the clothing.  The more Xerox toner you can get out without water, the less likely the stain will be to set.

3) Fill the sink basin with cold water and immerse the item.  Work with the item to try to get more toner out.  Drain the sink and run more cold water over the item, trying again to get more Xerox toner out.

4) Wash the item in a washing machine on the cold water setting with mild detergent only.

5) Air-dry the article in the shade or indoors.  You're air drying primarily because if there's any toner left, the heat from the dryer which will probably set the stain permanently.  This will make it much harder or down-right impossible to remove.

More Tips and Warnings:
Avoid touching the toner with your hands when removing the stained article of clothing.  This prevents the toner particles from accidentally being spread.

If you get Xerox toner on your clothing, shake out the article of clothing outdoors.  This avoids the Xerox Toner particles landing on other easily stained items like carpet, furniture upholstery, and other items of clothing.

DO NOT use warm or hot water when washing the item, as it will set the stain most likely permanently.

If the item is dry-cleaning only, inform your cleaners that toner was spilled before they dry-clean it.  They may also need to know what kind of toner was spilled on it to ensure proper treatment, based on the makeup of the toner.

Troubleshooting a Xerox Copier

Xerox can be a great option for a copier that you can have.  This will help you to get the copies of documents that you need; but in a certain amount of time, you might find that this machine does not work properly.  You might get faded images and documents from the machine intermittently, or it can do the copying job perfectly sometimes.


You will find that the Xerox might get dirty or wear down after you use it for hundreds of copying jobs.  If you find some problems that might occur in the copier, there are ways that you can go thru a troubleshooting procedure for the machine.  Follow the following steps if you want to troubleshoot your Xerox copier.  Keep in mind this doesn't apply to all Xerox copiers, but similar procedures do apply to others.

1. Find the red button (Job Cancel) on the control panel of the machine and press it.  Then, you should turn off the machine by pressing the power switch.  You should also unplug any cable that you can find in the machine.

2. Let the machine to go thru a cool down, by leaving it off for several minutes. Then you should try to find and reveal the toner cartridge of the machine. You can do it by pulling open usually the front cover of the machine.

3. Find the plastic locking lever and locate it next to the left hand end of the cartridge.  You should press it toward you.  Then, you should set the cartridge on a stable work surface.

4. Look at the top-right of the cartridge and find the blue tab.  Grip it, and slide the tab to the left end of the cartridge.  Then, you have to slide it back to its previous position.  You should repeat it for several times to clean the corona wire that exists inside the cartridge.

5. Look inside the machine to find whether there is jammed paper or not.  You can do it by the inspecting the toner cartridge inside the machine.

6. Look at the front of the machine and close the plastic panel that you find in it.  The, you should reveal the scanning glass of the machine by pulling the plastic lid.  Wipe off the glass that you have revealed with a soft cloth towel.

7. When you have finished, close the lid of the copier.  When you find any paper jammed inside the feed tray, pull the paper.

Those are some examples of things that you can do to troubleshoot most Xerox copiers that you might have.  By doing these things, you will be able to use the machine properly, so that you can run the copying jobs with this machine.

Color Copier - Do You Really Need One?

Recently I was working with a client who was purchasing a new Toshiba copier.
Like many of my repeat and new customers one of his major considerations was whether he really needed to upgrade to a color copier or would the black copier be OK for his needs.


One of the first questions I ask in this situation is "how are you handling color copies and prints now?". Typically my clients are doing one of two things: 1) they outsource their color printing to Staples, Office Depot or a local printer or 2) they print them out on a desktop color printer.

Once I have established what they are doing now my next questions is "how many color copies or prints are you doing per month and year?"  Many times my customers don't really know their true volume so we have to do a little investigative work.

One helpful strategy is listing out on a piece of paper all the different types of color copies and prints they do throughout a year and then listing beside each project the approximate number they do for that project per month and year.

I think it's important to look at this annually because many times there are printing projects that are only done once or twice a year and the customer tends to forget about those projects if we are only thinking in a monthly context.

In the case of this customer once we listed out all of his annual color printing needs he only did about 500 color prints per year.  I consider this a very low color volume.

I advised him that this didn't justify purchasing a color machine and he should continue to send those jobs out to a printer.

I did also find out that he was sending his jobs mostly to Office Depot. OUCH!! can you say expensive.  I advised him to find a locally owned print shop or go online where in either case the prices would be significantly less than Office Depot or Staples.

In the situation of a company doing thousands of color copies and prints per month I would recommend considering a color copier.

It comes down to doing the math.  How many color prints and copies do you do per year times what you pay per copy/print at a local print shop versus what you would pay to do them in house on your own color copier.

Once you know these numbers you have to consider the added cost of a color copier versus a black copier.  Your purchase price or lease payment will surely be higher for a color copier than a standard black copier but in many cases it's worth it.

Another consideration is the time involved in calling a printer, driving there to drop off artwork if necessary and then driving back to the printer to pick up the job.  As we all know during the business day Monday-Friday our time is money and I feel this is a legitimate consideration when deciding to buy a color copier or a black copier.

When it comes to local printers I have seen color copies/prints done in the range of 15 to 35 cents each. This is just my experience and your local printer may do them for less.
With a Toshiba copier (which is one of the brands I sell) you can make a color copy or print for anywhere from 7-10 cents each.  Where you would fall in this range depends on what size color copier we are speaking of.

Today I am addressing the pros and cons of purchasing a copier vs. leasing a copier for your workplace.  I was recently asked this question for the 5,000,000th time and I decided to answer the question publicly.


There are advantages and disadvantages to either acquisition process.  The answer to several variables will help steer you in the right direction to see whether purchasing or leasing a printer is right for your office.  Whichever option you decide on, you can still have your machine on a recommended maintenance and toner contract.  Most current day machines come standard with all of the functions you need; copying, printing, and scanning.  The fax is an additional option.

Ask yourself these three questions:

1.) How long has our company been in business?
The credit approval process can be very sensitive to new businesses.  Without 3 or more years in business the lease application will probably require a personal guaranty from the owner of the company.  With that being said, it may make more sense to purchase a refurbished printer at a low cost, then lease a more robust, new printer down the road once the company has more established credit and higher printing volume.

2.) How much do we print?
Printers these days are designed to last!  If you don't have a high volume of printing you'll probably get more bang for your buck purchasing an MFP outright.  Most lease terms are 3 or 4 years.  If you aren't pounding your printer all day every day, then you should get a lot more than 3 or 4 years out of it.  On the other hand, if you hammer your office equipment, it makes more sense to lease a machine so you'll get a new one at the end of the lease term and not have to worry about what to do with a broken down machine 8 years down the road.  A headache is the last thing you need with office equipment, you have a lot of other things to worry about.

3.) How much are we willing to spend out of pocket for a printer?
Large MFPs can are expensive.  Leasing them is a great option for an office without a large budget.  Most workplaces would function seamlessly with an MFP for around $200 a month, which would cost you nearly $7,000 cash.  You could lease a machine that's out of your budget that will handle a larger workload than a system that was purchased outright.
