Printer - A Need of Every Computer

A printer is a revolutionary birth in the world of computing.  It is a device, which generates a hard copy of the documents stored in electronic form also known as soft copy.  It prints the data on physical print media such as paper or transparencies.

Printers are intended for low-volume printing jobs, which necessitate very less time to get a hard copy of a given document.  Printers are sluggish devices and the cost per page is reasonably soaring. Since the improvement of quality and performance of printers, many jobs that used to be done by professionals in print shops are now being done by people on their own local printers.

Most of the new printers come with a USB cable, which serves as a document source.  Many printers are principally used as local peripherals, and are attached by a printer cable.  Printers that have built-in network interfaces and can serve as a device for hard copy for any user on the network are commonly known as network printers.  Printers are often are designed to keep up both local and network connected users at the same time.

Modern printers can directly connect through electronic media such as memory sticks or memory cards, or two devices such as digital cameras and scanners with the help of USB cables and Bluetooth.  Printers that include non-printing features are sometimes called Multi-function Printers (MFP) or All-In-One (AIO) printers.  Most MFPs include printing, scanning, copying and the facility of fax are among their features.

In the early years, the speed of printers was measured in units of characters per second.  However, in modern era speed of printers is measured in pages per minute (ppm).  The speed of printing 30 pages per minute is considered as a fast speed, but there are many inexpensive printers whose speed is far slower than this.  A Laser printer can be the fastest printer, which also comes in different variants of its speed.  However, its speed is sometimes faster than all other printers.

There are various types of printers such as monochrome printer, which can only produce an image consisting of one color, usually black.  A color printer, which can produce images of multiple colors.  A photo printer, which can produce images of high resolution with multiple colors.

The world's first computer printer was the 19th century mechanically driven type equipment; invented by Charles Babbage.  Now there are many companies, which are providing low-priced printers with admirable performances and features.  Such companies are Canon, HP, Brother, Lexmark, Xerox and Toshiba etc. to name a few.

Tips for Choosing the Right Copiers For Sale

COPIERS FOR SALE

Copiers are machines which make paper duplicates of documents.  They are very useful and have been around for many years.

Most of the copiers make use of heat fusion, while some models use inkjet technology to make copies.

Types of copiers
  • Analog copiers: These are outdated
  • Digital copiers: These may be able to print, scan and fax in addition to making copies.
  • Types of digital copiers include: Monochrome copiers: these make copies in black only.
  • Color copiers: these can make copies of documents in a range of colors.
  • All in one copier: these can print, scan and fax.
  • Multi functional copiers: these come with a very wide range of functions. Factors to consider in making a choice of copier

In making a purchase of a copier, the following factors will need to be put into consideration:
The amount of paper that can be loaded into the machine at a given time should be considered.  Smaller copiers will be able to able to receive about 100 sheets of paper, while the most advanced models can be loaded with up to 2500 sheets.

The size of the paper used: some models can only accommodate a particular size of paper, while others will accept a large variety of paper sizes.

The speed at which copies are made: the speed could be as low as 10 copies per minute, or as high as 100 copies per minute.

Toner: this is for digital copiers. The monochrome copiers use only one toner cartridge, while color copiers will require several toner cartridges for the different basic colors.

Memory: the latest models have some memory features, which makes them work more efficiently.
Extra capabilities: some of these features include scanning, faxing, networking capabilities, emailing, security features, image editing.

HP Printers Vs Canon Printer

The world today has been incredibly altered by the developments of technology.  You'll be amazed at the many different innovations and modernization's that technology has produced for different machines.  All the mechanisms around us are becoming even more useful as time passes by.  Computers are some of these useful devices, and an HP or a Canon printer would definitely make the set complete.

A lot of printer makes and models have been released in the market, and most of them offer various new features and technological developments.  Each model has a different purpose in printing, but there is one thing you can be sure of: good printers have good reputations.  Examples are Hewlett-Packard and Canon printers.  The two names are well-known because of the excellent features that they offer.

They may be popular, but HP and Canon drove a long way before getting to where they are now.  Making a respectable image in the industry takes a long time, even several years, to establish.  The question now is: which one is better, Canon or HP?  It may not be that easy to tell because the companies have different sets of printers.  In order to find out, let us compare their models.
Firstly, HP and Canon do not have much difference when you talk about conventional printing. The trademark of HP in inkjet printers, the DeskJet series, and the inkjet printers of Canon are quite similar to each other.  The Business Inkjet 2800 from HP and the PIXMA iX7000 from Canon have the same business-quality performance that provides excellent document quality, professional prints, and colorful photos.

Having a photo printer of your own makes printing pictures very easy, and HP and Canon's photo printers are excellent for this job.  HP's Photosmart D7100 and Canon's PIXMA iP6220D are excellent photo printers that offer great features like a 2.5'' LCD color display that allows you to view and edit your photos and print them without a computer simply by inserting memory cards in the memory card slots.

For multi-functional features that are perfect for the office, an all-in-one printer where you can print, fax, scan, and photocopy is the best choice.  An example of this is the K7100 from HP's Officejet 4500 All-in-One series and the PIXMA MX7600 Office All-in-One printer from Canon.  You can use these two machines to print, copy, and fax in full color and receive documents and images in perfect hue.

If you want the latest in printing technology, laser printers offer the best printing quality and speed.  The Color LaserJet CP4025dn printer from HP and the image CLASS LBP6300dn from Canon allows you to save up to 50% of paper with their duplex-printing feature, and save time as well with printing speeds of 30-35 pages-per-minute.  These devices are also network-ready so you can connect and print straight from the internet.

As you can see, HP and Canon printers have a lot in common.  They may have different technologies but their features are a lot alike.  The only difference that they might have would be their prices.  For a more affordable selection, choose HP; but if you don't mind the costs, choose Canon.  Your decision makes the final statement.

Canon Laser Printer: A Review of the Canon D340 Digital Copier Laser Printer

A printer which is designed either for personal, professional, or business use must have excellent quality printing abilities, and a Canon laser printer is my best bet for that.  Specifically as a copier and printer, the Canon D340 Digital Copier Laser Printer is one of the best models that I have ever used.  Let me enlighten you through this review that I have written for that exact purpose.

Design
This model is a nice conventional white printer with buttons which are very easy to use and a small LCD display for essential information.  It looks like any common laser printer and copier, but it's compact enough to be easily set in a room, table, or desk.  The dimensions of the machine are 18'' x 21.4''' x 17.8'' and it has a weight of 35.2 pounds.  It's very bulky and it's not advisable to be used as a portable machine.  It should be settled in a single location which is most convenient for your use.
The LCD display is very small and is only meant for showing important data.  The buttons are intuitive, simple, and very easy to use.  It is not designed for network use so you can only access it through one PC.  The device also has a lot more functions that can definitely help you speed up your work and make better output for an even more productive work pace.

Printing and Other Functions
The device is a printer and a copier in one, so compared to other Canon laser printers, this is much more functional.  The printer can produce output in as fast as 14 seconds per minute, not as speedy as other models but certainly fast enough.  It has a high resolution for enhanced output of up to 1200x600 dpi. The printer also has a toner saver mode which allows you to use less toner for lesser costs.

The copier is the prized feature of this device.  It has a very intelligent copying system which lest you scan once and copy many, so you won't have to keep on scanning a single document to produce multiples copies.  The copy speed is the same as printing, as well as the quality so your copies are just like or even better than the original one.  You can produce 99 copies of a single document in one setting. You can also reduce and enlarge your documents from 5% to 400% and every whole number in between with the zoom feature.  It can automatically collate copies of documents according to the page, so if you're reproducing multiple pages of multiple copies, you won't have to sort every one of them individually.  The 2 on 1 function allows you to print two documents in a single paper so that you can save more paper and help the environment.

Other Features
The 250-sheet tray makes printing multiple pages a lot easier because you don't have to keep on refilling the paper tray.  The automatic document feeder input of the copier makes copying more accessible and less hassling to use, especially if you only need a few copies.  The product is also Energy Star qualified so for environmentalists and nature-lovers, this is a very friendly and safe device.

Conclusion
I don't think anyone would be disappointed in this Canon laser printer.  I have used it for a long while and so far, I have been completely satisfied with its performance.  The Canon D340 Digital Copier Laser Printer is a very remarkable machine and I highly recommend it to all those people who desire to have an excellent laser printer and copier, for whatever purpose it may serve.

Top 10 Problems With HP Printers and Their Solutions

Despite being reliable printing machines and despite your best of efforts, HP printers often malfunction. Why? There can be multiple reasons for HP printers to malfunction and display error messages.  Here we have listed 10 common HP printer problems and their solutions.

Toner smears or does not fix to the page
Check the fuser.  If it is nearing the end, replace it.  If you don't know how to replace a fuser, refer to your HP printer support manual that originally came with the HP printer setup kit.  Sometimes, fuser displays a Clean Fuser Input message.  It is a clear indication that fuser needs a cleanup.  Open the front door on your HP printer.  Check if you see a blue brush inside there (there must be one). Take the toner cartridge out of the printer to reach the fuser input assembly.

The assembly locates on top of the black toner cartridge port. Take the blue brush out and clean the assembly.  The cleanup procedure is intended for a HP Color LaserJet 5500 printer.  If you have a different printer, refer to its manual.  If it's not fuser, it may be the toner cartridge which is either defective or nearing the end of its life.  In that case also, you will need to replace it.  If the toner is neither defective nor nearing end, clean the toner cartridge assembly.

Paper Jams
Paper jams are the commonest printer problems, not just with HP printers, but with all the printer brands and models.  Paper jam can occur due to a number of reasons from torn paper bits, wrong paper tray selected, wrong paper type selected, loose paper roller, and to a lint of dust etc.  Look carefully inside the paper tray and at the exit end of the print paper path.  If there are any bits of paper stuck inside, remove them.  Check that the paper tray has the right type of paper, that is listed in the control panel of the printer.

If it is different, the printer will experience a paper jam problem.  Make sure that the paper type matches what is in the printer properties.  If not, correct it.  Also, make sure that the printer prints to the right paper tray.  Failure to which it will lead to a paper jam.  If the roller seems to be loose, tighten it carefully.  If the roller looks shiny, it may need a replacement.  Besides, never pull paper in the opposite direction that it feeds in.   Always pull it in the paper path direction.

Windows sends print jobs to a wrong printer
It happens when Windows selects a default printer by itself.  If you are using Windows 7, click the Start button and point to Devices and Printers.  You will see various printers listed under Printer and Faxes. Right-click the desired printer and click Set as default printer.  If prompted, confirm the action and exit Devices and Printers.  Restart your computer and printer.  Test a print page and check back.  Windows should print to the right printer now.

If you are using Window XP, click the Start button and point to Control Panel.  Double-click Hardware and Sound and then Printers.  Look for the printer that you want to set as default, right-click it and then choose Set as Default Printer.

Print Spooler service stops working
This is again a common problem with HP printers.  To get rid of this problem, click the Start button and point to Run.  When in Run dialog box, type 'services.msc' (without quotes) and hit Enter.  This will take you to the Services window.  On the right hand side, look for Print Spooler, right-click it and select Restart.  When prompted, confirm the action and exit the Services window.  If prompted, restart your computer.  When done, test a print page.

50.4 error message
The error message indicates a power supply problem and generally occurs when the power cord of your printer is plugged into a power strip or the UPS.  To get rid of this error message, plug the printer directly into a power outlet.

Printouts are too light, have spots
Often a printer starts printing light or spotty when the ink\toner cartridge is either dried up or clogged. Remove the ink\toner cartridge.  Take a soft cloth and dip it into either hot water or alcohol.  Now rub the soft cloth cautiously against the print head.  Also, rub it on  the underside of the nozzle of the printer.  It will soften the ink and let the printer print properly.  Put the ink cartridge back in place.  Print a test page and check back.

Error message 69.x
This shows a temporary glitch on your printing device.  To make this message disappear, you simply need to power off your printer, wait for 10-15 seconds and then power it on.  This will reset the configurations and make your printer start working again.  In case the message still appears, power off both printer and computer and then turn them on.

Error message 10
The error indicates a Supplies Memory Error.  Depending on your HP printer model, the error can occur due to various reasons.  To get rid of the problem, power off your printer and unplug it from the power outlet.  Wait for 10-15 seconds before plugging the printer back in.  When done, plug the printer back into power outlet, power it on, and let it warm up properly.  When done, print a test page and check back.  Your printer should start working fine now.  There may also be a problem with your printer's memory.  Replace its memory stick.

Cannot fit more text on the page
You may want your print page to have a substantial text amount, but your default printer settings may not let you do so.  Sometimes, you may also face a problem when shrinking the text on a sheet.  To get rid of this problem, go to Printer Properties in Control Panel.  Change the printer settings to accommodate more pages for each sheet.  For example, click the drop-down menu under Pages per sheet and posters and select it to 2 or 3 as desired per pages.  Click the OK button.  The settings may differ according to your printer model.  Refer to your HP printer support manual for correct settings.

Wireless printer problems
Wireless printers are great for home or office use.  However, they cannot beat wired printers when it comes to speed.  Wireless printer users often face printer slow problems.  To make sure that your wireless printer works at a decent speed, use a unique channel number in your router.  Besides, place your printer close to your Wi-Fi router.  Keep gadgets like cordless phones, security alarms away from your wireless router.  These gadgets create electrical interference and cause your printer to function slowly.

The Refurbished Copiers Trick Your Competitors Are Using To Save Thousands

If I told you a way to save up to 85% on a product that every business needs you'd be interested right? Of course you would! It's no secret that refurbished copiers can save your company up to thousands of dollars for a basic model.  However, it's a hefty cost savings that many businesses do not even consider!

When it comes to office photocopiers, let's be honest, who cares if it's brand new?  Have you ever had anyone visit your office and stop to marvel at your copier?  Never happened has it?  I know it's a stupid question, but it highlights why refurbished copiers are an obvious yet little known business secret that highly effective managers utilize today.

If you've got a business or manage a budget for your department lightly used copiers are a great way of saving money yet getting the same performance from a new unit.  Got you interested now haven't I? Okay, so what should you look for when buying copiers refurbished?

Firstly, ask the dealer on their refurbished copiers process.  Any reputable dealer will clean their copiers inside as well as out, have any of the worn parts replaced and have a checklist to check for the most common errors and will guarantee the quality.  Manufacturers such as Canon copiers, Ricoh copiers , & Xerox copiers are always reliable.

Secondly, ask the dealer how many miles the refurbished photocopier has under the hood.  Yep, you heard me right! The majority of digital copiers nowadays have a built-in counter that records the number of copies done.  Much like with a car, the lower the copies, the higher the price.  However, most refurbished copiers will come with some kind of warranty so it's best to work it hard in the early days to check reliability and quality.  One final point, it's definitely worth negotiating an extended warranty period with the dealer especially if they won't budge on the price.  Try and get a guarantee extending to a year and all in all you'll have grabbed a great deal on your refurbished copiers!

How To Properly Dispose Of A Copier Or Printer

When your copier or printer bites the dust or gets replaced with a new model, you may be wondering what to do with the old machine.  Many people actually don't know that these types of machines contain materials that can pollute the earth, and incorrect disposal of copy machines and printers is incredibly hazardous to the environment.  Read on to learn how to properly dispose of a copier or printer.

Increasing by about 8 percent per year, electronic waste, or e-waste, is the fastest growing segment of the US waste stream.  Contributing to the problem is the fact that less than 10 percent of electronics such as printers, copiers, and fax machines are recycled - the remaining 90 percent end up in incinerators or landfills where their harmful toxins can then cause harm to your health.  Instead of allowing these chemicals (including mercury, arsenic, lead, cadmium, and selenium) enter the air or water supply, consider these alternatives.

Donate Your Old Copier or Printer
One alternative to throwing out your old printer or copy machine is to donate it to a school, non-profit organization, or low-income community.  This is an excellent option if the copier or printer is still in good working order and you are simply replacing it with a newer model.  You will keep the copier/printer and all its toxins out of the landfill, and the organization you donate it to will surely appreciate it. Additionally, donating your used equipment to a school or non-profit organization can help you qualify you for tax deductions.  Most non-profits will provide a donation receipt for tax purposes if you request it (but keep a record of what you donated and to whom just in case).
Check Recycles.org for a full list of schools, organizations, and non-profit businesses that accept donations of electronics.

Manufacturer Take-Back
If donating your copiers or printers isn't an option, check with the manufacturer of the machine.  Many companies now have take-back programs in place for recycling e-waste such as non-working copiers and printers.  This option not only keeps the hazardous materials from your machines out of the landfill, but it allows the manufacturer to reuse many resources from the machine such as raw materials and heavy metals.

Find a Licensed Disposal Facility
Last but not least is the option of finding a government licensed electronics disposal facility.  These companies will dispose of your copier machine, printer, or fax machine in an environmentally safe way that will meet your legal obligations and also achieve the maximum environmental benefit of disposal. Generally a disposal facility will take printers or copy machines such as Canon copymachines or Toshiba copy machines and dismantle them into their composite materials which can then be recycled and entered back into the manufacturing process, thereby helping the environment and preserving natural resources.

Whatever option you choose, just remember to recycle or refurbish your copy machine or printer - don't let it end up in the landfill!

Replacing Your Printer Cartridge

No matter how good your printer is there is one thing it will always need to work properly: toner.  The toner in your printer is stored in a specially designed printer cartridge and when the toner runs out this printer cartridge must be replaced.  Printer cartridges can vary widely in price but fortunately you have many options to choose from.

OEM Printer Cartridge
More likely than not when you first purchased your printer it came with a specially designed printer cartridge manufactured by the same company that built your printer.  Every printer is different and thus the cartridge needs will always vary.  Printer cartridges manufactured by the same company as those who built the printer are referred to as OEM or Original Equipment Manufacturer.  Sometimes they are also referred to as Genuine OEM.

There are some advantages to replacing your toner with an OEM printer cartridge.  You will be sure that the cartridge will fit your model printer, as well as be sure of the quality. Unfortunately there is also a heavy price to pay with OEM printer cartridges, as OEM toner is usually fairly expensive.  If price is a concern there are other options as well.

Compatible Printer Cartridge
Your new printer cartridge does not necessarily need to be manufactured by the original printer manufacturer in order to work.  There are several companies out there that specialize in making compatible printer cartridges, that is, cartridges which are compatible with a number of different printer types from different companies.

The main advantage of a compatible printer cartridge is that it will be somewhat cheaper in price.  They can often run for as much as ½ the price of its OEM counterpart.  Most compatible printer cartridges will work just fine with your printer, however in rare instances a compatibility problem might arise.  Generally they are manufactured roughly the same as the original OEM printer cartridge, only it is manufactured by a different company.

Remanufactured Printer Cartridge
The last option for buying a replacement printer cartridge is to buy it remanufactured.  This is something made available by a number of companies in the business of recycling printer cartridges.  They take the old cartridges and rebuild them, as well as replacing the toner. Both OEM and compatible printer cartridges can be recycled and remanufactured, and will vary in price depending on the price of the original cartridge.

Remanufactured printer cartridges are popular not only because they are a cheaper alternative than OEM, but also because they are more environmentally friendly.  It cuts down on the need for new cartridges to be manufactured, as well as cutting down on the number of discarded cartridges taking up space in landfills.

The Final Step

Once you have purchased your replacement printer cartridge (or refilled your old one) it is time to put it back into your printer. Most printers will have instructions printed right on them for how to replace the printer cartridge, or you might need to consult the manual. Once your new cartridge is in you are ready to start printing again!

Call 847-398-5212, HP Copier Scanner - A Perfect Device for Office Needs

The HP copier scanner is one of the most useful gadgets in an office.  Efficiency in the workplace does not only pertain to productive employees.  It is also about having the required equipment needed to accomplish different tasks.  The modern times in particular, depend heavily on various machines and gadgets to effectively carry out assignments and responsibilities.  In the past, the sole equipment needed to execute tasks was the typewriter, pen and paper, and the telephone.  Today, technology has evolved and so did the office needs.  As a result of this, offices need to employ machines that would greatly improve the productivity of its employees.

Office equipment, such as the HP copier scanner, and scanner printers are among the widely used contraptions in businesses nowadays.  These machines provide a range of benefits that help to run and manage an office as smoothly as possible.  A scanner printer refers to a three-in-one device that lets users perform different tasks from a single unit.  Typically, it enables the user to scan, copy and print any document or photo.  The gadget is also capable of converting files into digital formats and can produce a hard copy of it as well. The contraption is also able to fax documents.  With this type of machine, there is no need to switch to various other devices to get things done.

Multifunction copier or printer devices such as the aforementioned have become available today in answer to the varying needs of consumers and businesses.  Before, people had to contend with different machines to enable them to perform their tasks.  Also, office personnel had to have printers, copiers and fax machines separately; but with the invention of copier scanners and scanner printers, the redundancy was minimized.  This is predominantly beneficial in times when there are critical operations to be carried out.  This has resulted to better productivity for the employees.  More importantly, valuable time was used to perform other important chores in the office.

Obtaining functional equipment such as the copier scanner is a sensible investment.  In choosing the ideal one, it is important to note that even though they are all functional and provide efficiency, there is still a need to select wisely.  In other words, look for a device that provides the functions that are most required in the business.

For the most part, evaluate the basic tasks that have to be accomplished on a daily basis.  One example would be, if the staff has to produce photocopies every day, and then acquire a machine that provides superior quality copies.  Then, find one that is easy to operate and requires no complicated steps to enable use.  Also, make sure to ask about the parts and the repairs for the unit. Additionally, compare features and prices in order to find the most appropriate device.

With the valuable aid of an HP copier scanner and other practical office equipment, efficiency can be ensured.  Aside from being space savers, the different features that these machines come with, pose a lot of benefits and advantages that result in better production for the office.  What's more, it is an effective way of keeping the business systematic and productive.

Call 847-398-5212, What Kind of Paper Folder Should You Use?

Folding paper by hand is time consuming and takes time away from other more important projects. Many businesses use employees to manually fold paper for mailers, invoices and more.  These are commonly referred to as "folding parties."  The end result is usually a bunch of paper cuts and crookedly folded paper.  What if there was a faster, more accurate and more precise way to fold paper?  There is. It is called a paper folder.

Automated folders, in the past, received a bad reputation due to jams and complicated setup and operation.  Modern paper folders have come a long way.  They are more compact, easier to set up, and the jams are very few and far between.  Looking for the right paper folder may be more daunting than setting one up.

Folding machines are set up into several categories, depending on the volume, the paper and the type of fold.  The two most basic categories are friction feed and air feed folders.  The biggest factor between these two types of folders is the paper being used.  Friction feed paper folders do not handle glossy paper well, but air feed (pneumatic) paper folders do.

Friction-feed paper folders are the most common folding machine used today.  They use rubber rollers to grasp paper and pull it into the machine to be folded.  Most friction style models can handle standard 20lb copy paper.  You will, however, have to check to see if the paper folder you are looking at can handle thicker cardstock.  Many machines can, but you will want to verify this before making a purchase.

Most friction-feed models can do a single fold, a Z fold and a C fold.  Additional folds, such as a gate or French fold, will depend on the machine being used.  The Z and C folds are the most common used, due to the fact that these fold paper for a size 10 envelope.  A Z fold looks like the letter Z and is accordion-like in shape.  A C fold looks like a letter C and opens like a letter (often referred to as a letter fold).

Friction feed folders are typically available in manual setup, semi-automatic and fully automatic designs. The names are self-explanatory.  Manual setup paper folders require the folding plates to be manually adjusted.  Semi-automatic designs require some manual adjustments and a fully automatic paper folder is controlled by a computer with the folds being set automatically.

Air feed machines use an air compressor to suck paper into the machine, rather than use a rubber wheel.  This allows these types of folders to work with glossy, slick paper.  Pneumatic paper folders are commonly used in print shops and generally handle a higher volume of paper than most friction feed models.

Call 847-398-5212, Copier Leasing - The How and the Why

Photocopiers are necessary in most office environments, but the costs can tax even the biggest businesses.

Consider the basics of what most businesses need in a copier and you'll see why: networked to provide printing and copying functions; options to copy in color; collating; double-sided copying.  Some need even more functionality, including high-speeds, high-capacity and volume, e-mail and scanning, fast warm-up times, and security features.

A high-end copier can cost in excess of $40,000, and even one that meets an organization's most basic needs can run into the thousands of dollars. Because of the need for the best technology at an affordable cost, many businesses consider leasing over buying.

Benefits of Copier Leasing for Your Business

Costs are the most tangible benefit recognized by businesses.  Copier leasing allows you to avoid large capital expenditures, which frees up cash for more pressing needs.

With IT assets, you are really buying the use of the machine.  Ownership of the machine itself is secondary in importance, especially when you consider how quickly IT equipment depreciates.  In the case of a copier or copier/printer combination, the return on investment comes from its output, not the hardware itself.  When you look at it that way, leasing often makes more sense than buying.

As with any leased IT asset, there may be significant tax savings available.  Speak to an accountant to learn more about the possibility of writing off a copier lease as a business expense.

Copier leasing typically includes a maintenance plan to keep your machine running up to factory specifications.  For those who have experienced the frustration of a copier meltdown, you know how important a maintenance contract can sometimes mean.

Costs for both the lease and the maintenance contract are generally fixed, meaning you know your monthly budget well in advance.

With leasing, upgrading to the next model is easy.  When the lease expires, you get a whole new machine with the latest specs and functions.

What You Need To Know About Copier Leasing

Many copier leases charge on a volume basis.  Be sure you have an accurate idea of the volumes you produce each month, to know for certain, whether leasing is the most cost-effective option for you; cause if you don’t have a heavy enough monthly volume, then it might not be feasible.   You may want to ask your vendor about a minimum copy requirement too - if they are charging on volume, they may require a base number of copies each month.

Although maintenance is often included in the lease, toner typically is not.  Toner cartridges are expensive so be sure to include an estimated cost for replacements in your budget.  Again, a clear idea of the number of copies you generate per month will help with forecasting.
